Although significant progress has been made in communication between trade partners and suppliers, statistics from Byggstand indicate that the implementation of digital order processes has not advanced as much as many previously believed.<\/p>\n\n\n\n<p>The Peppol BIS Ordering Agreement has been developed to address a specific challenge: what to do when a digital order does not exist. Many large contractors in Norway and Sweden have not implemented systems for digital orders, so order confirmations are often sent as PDFs via email. This creates difficulties for traceability, delivery control, and invoice approval.<\/p>\n\n\n\n<p>The Peppol Ordering Agreement functions as the digital contract for transactions, providing a structured and standardized solution for companies that have not yet implemented digital order processes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Benefits of digitalizing order confirmations:<\/h2>\n\n\n\n<p>The contractors, such as larger companies in Norway and Sweden, are currently unable to send digital orders due to the lack of business processes supported by systems. Several attempts have been made to implement this, but adopting a large procurement system is complex and costly, and its use by on-site workers is very limited. Instead, site managers primarily use Excel for project follow-up, as it appears to be the most efficient option for them.<\/p>\n\n\n\n<p>To simplify and streamline logistics in construction projects, it is important to have control over procurement and deliveries. Today, order confirmations are often received by a third party without those who actually ordered having insight into the process. This can lead to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Uncertainties regarding who placed the order and whether the goods have actually been received.<\/li>\n\n\n\n<li>Lack of information about the expected delivery date.<\/li>\n\n\n\n<li>Pricing errors that are not detected until the invoice is received.<\/li>\n<\/ul>\n\n\n\n<p><strong>By digitalizing order confirmations, these challenges can be addressed in a more efficient way:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Better overview of deliveries \u2013 A digital delivery calendar can be created so that construction sites know what is coming and when.<\/li>\n\n\n\n<li>Automatic price matching \u2013 The system can verify that prices match the agreements before the invoice is sent.<\/li>\n\n\n\n<li>Traceability and verifiability \u2013 All involved parties have access to the same data, reducing the risk of errors and misunderstandings.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Standardization increases efficiency<\/strong><\/h2>\n\n\n\n<p>Traditionally, digitalization of order confirmations has been handled through one-to-one EDI integrations between trading partners. This involves each buyer setting specific requirements for their suppliers, often with the help of an EDI VAN provider that creates mappings between the sender's and receiver's formats.<\/p>\n\n\n\n<p>This approach has several disadvantages:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>High costs \u2013 Each new integration requires extensive testing and development.<\/li>\n\n\n\n<li>Lack of validation \u2013 Rules for the content of an order confirmation are rarely implemented, resulting in significant variation in data quality.<\/li>\n\n\n\n<li>Limited flexibility \u2013 Every time a supplier updates their system, a new testing phase must be conducted.<\/li>\n\n\n\n<li>Responsibility allocation \u2013 Without validation of the format being sent and received, it becomes the recipient's responsibility to determine whether the supplier has actually sent information that meets the specified requirements.\u00a0<\/li>\n<\/ul>\n\n\n\n<p>With Peppol Ordering Agreement, this format is standardized, which provides:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Automated validation \u2013 The format includes built-in validation requirements that ensure all necessary data are included.<\/li>\n\n\n\n<li>Feedback on errors \u2013 If the document does not arrive or contains errors, the process is halted, and a message is sent back to the sender indicating what is wrong.<\/li>\n\n\n\n<li>Simplified onboarding of new suppliers \u2013 A common format allows new trading partners to connect quickly without extensive testing phases.<\/li>\n<\/ul>\n\n\n\n<p>The Peppol standard is continuously developed by OpenPeppol, a European organization with broad international participation. This ensures that the solution remains relevant, up-to-date, and aligned with modern technological requirements.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Peppol vs. Traditional EDI\u00a0<\/strong><\/h2>\n\n\n\n<p>The Peppol BIS Ordering Agreement simplifies access to a broad network of trading partners by providing a single integration. Unlike traditional EDI, which often requires separate customizations for each trading partner, Peppol enables process standardization, reducing implementation costs, maintenance, and complexity.<\/p>\n\n\n\n<p>By building on a global standard, Peppol ensures high interoperability across sectors and national borders. Traditional EDI solutions, on the other hand, often require extensive customization to meet the requirements of each partner, which can make systems less flexible and more resource-intensive.<\/p>\n\n\n\n<p>Another important aspect is maintenance and updates. Peppol is continuously developed by OpenPeppol, an organization working to ensure that the solution remains up-to-date and aligned with modern requirements. Traditional EDI solutions, however, are often dependent on vendor-specific updates or internal development processes, which can make it more challenging to keep systems current.<\/p>\n\n\n\n<p>In addition, Peppol provides a scalable solution that can be easily used by various trading partners without the need for individual agreements or extensive adaptations. This is in stark contrast to EDI, where new partners often require their own integration processes, potentially creating extra work and delays in implementation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Implementation today<\/strong><\/h2>\n\n\n\n<p>Some of the first to have adopted Peppol Ordering Agreement in practice are Veidekke in Norway and NCC in Sweden.&nbsp;<\/p>\n\n\n\n<p>For Veidekke, one of the main reasons for implementing this format was the desire to simplify the testing process and requirements for new suppliers.&nbsp;<\/p>\n\n\n\n<p>Veidekke has across the group 22,000 suppliers. Managing one-to-one EDI setups with supplier meetings, requirements, testing, and follow-up would be an impossible task resource-wise.&nbsp;&nbsp;<\/p>\n\n\n\n<p>By standardizing the order confirmation, those who already use this format can immediately start sending documents without the need for extensive testing phases or implementation costs.<\/p>","protected":false},"excerpt":{"rendered":"<p>Peppol Ordering Agreement \u2013 the message serves as the basis for an agreement between the customer and the supplier. Hovedfokuset har v\u00e6rt \u00e5 etablere en-til-en-integrasjoner mellom handelsleddet og deres leverand\u00f8rer. Ofte har det v\u00e6rt n\u00f8dvendig med testing og endringer mot enkeltakt\u00f8rer innenfor kjedene p\u00e5 grunn av tekniske og systemmessige forskjeller mellom butikkene.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>I utgangspunktet er det opp til leverand\u00f8rer og handelskjeder hvilket format som sendes til EDI-operat\u00f8ren, basert p\u00e5 hvordan funksjonaliteten er utviklet. Det har v\u00e6rt mange fors\u00f8k p\u00e5 \u00e5 standardisere formatet fra bransjens side, som for eksempel Neb-formatet basert p\u00e5 EDIFACT. Mange tok det i bruk, men det ble ikke satt noen reelle krav om at dette skulle brukes av alle i bransjen. Formatet har heller ingen valideringsregler, s\u00e5 utbredelsen f\u00f8rte egentlig bare til litt mindre mapping mellom formater hos EDI-partene.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>Historisk sett har en EDI-implementering v\u00e6rt basert p\u00e5 testfiler mellom to parter, testing, endringer, ny testing, godkjenning og produksjon. Dette er en tidkrevende, kostbar og tung prosess.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:heading -->\n<h2 class=\"wp-block-heading\"><strong>Grunndata<\/strong><\/h2>\n<!-- \/wp:heading -->\n\n<!-- wp:paragraph -->\n<p>En gjennomgang av grunndata p\u00e5 hva som er bestilt og hva som kommer tilbake i ordrebekreftelser og fakturaer viser store utfordringer med kvaliteten p\u00e5 grunndata. Dette er en del av forklaringen p\u00e5 hvorfor utbredelsen av EDI g\u00e5r s\u00e5 sakte.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>N\u00e5r vi sammenligner linjer i bestillinger mot linjer i fakturaer, er det kun 64 % som inneholder de samme linjene. For fakturaer hvor vi har b\u00e5de bestillinger og bekreftelser, er tallet nede i 53 %. Dette betyr at kun 15 % av alle bestillinger kunne bidratt til en helautomatisk prosess mellom bestiller og leverand\u00f8r.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:heading -->\n<h2 class=\"wp-block-heading\"><strong>Standardisering<\/strong><\/h2>\n<!-- \/wp:heading -->\n\n<!-- wp:paragraph -->\n<p>I \u201cSporbarhet og merkeprosjektet\u201d som Byggstand gjennomf\u00f8rte sammen med flere av Norges st\u00f8rste handelskjeder og leverand\u00f8rer, ble det gjennomf\u00f8rt tester ved bruk av EHF-formatene. Dette er EHF-formatet (Peppol BIS) med svenske BEAst sine beskrivelser for hvordan disse formatene skal brukes i byggebransjen.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>Ved \u00e5 ta i bruk EHF og Peppol sin metode \u00abconnect once, connect to all\u00bb, fjernes den kompliserte test- og onboardingsprosessen. N\u00e5r du er registrert som mottaker av bestillinger i Peppol, valideres alle bestillinger mot det samme formatet. Dette eliminerer forskjeller mellom de enkelte akt\u00f8rene og gj\u00f8r det un\u00f8dvendig med en lang testperiode og verifisering av mapping mellom formater hos EDI-operat\u00f8rene.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>Vi p\u00e5pekte ogs\u00e5 lav kvalitet p\u00e5 grunndata tidligere i artikkelen. Dette problemet gjenst\u00e5r fortsatt \u00e5 finne l\u00f8sning p\u00e5.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:heading -->\n<h2 class=\"wp-block-heading\"><strong>Digitalisering av Bestillingsprosesser<\/strong><\/h2>\n<!-- \/wp:heading -->\n\n<!-- wp:paragraph -->\n<p>Det er et uttalt \u00f8nske fra b\u00e5de handel og leverand\u00f8rer at bestillinger, bekreftelser, pakksedler og fakturaer skal g\u00e5 digitalt, men hvorfor f\u00e5r vi det ikke til? Handelskjedene mener at de bruker EDI til \u00aballe\u00bb bestillinger til leverand\u00f8rene, og det st\u00e5r ofte avtalefestet i kontraktene at de skal samhandle digitalt.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>Slik det framst\u00e5r n\u00e5, har leverand\u00f8rene ofte kommet lenger enn kjedene selv, og de \u00f8nsker \u00e5 kunne automatisere bestillingsprosessene enda mer. Men n\u00e5r grunndata i bestillingene fra kjedene er som de er i dag, kan dette ikke gj\u00f8res. Flere leverand\u00f8rer har lagt opp prosesser og tekniske systemer for \u00e5 kunne sende pakkseddel, men det er veldig f\u00e5 som kan motta dette hos handelen. Vi har ogs\u00e5 erfart at leverand\u00f8rene lar feilene gli igjennom hos seg selv av frykt for \u00e5 miste salget om de blir \u201cvanskelige\u201d og stiller krav, selv om dette ofte p\u00e5f\u00f8rer b\u00e5de leverand\u00f8r og kunde mye ekstraarbeid.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>Teknologien g\u00e5r fremover, og det blir tatt i bruk l\u00f8sninger for \u00e5 scanne PDF-ordrebekreftelser med st\u00f8rre treffsikkerhet enn tidligere. <a href=\"https:\/\/hjemmesidehjelpen.no\/hva-er-kunstig-intelligens\">Kunstig intelligens (KI)<\/a> erstatter tradisjonell OCR, og linjeinformasjon kan leses og digitaliseres bedre enn f\u00f8r. N\u00e5r vil en slik l\u00f8sning kunne lese PDF-er eller andre dokumenter 100 % stabilt uten \u00e5 kjenne \u00abformatet\u00bb fra f\u00f8r? N\u00e5r dette n\u00e5r markedet, vil vi f\u00e5 en effektivisering langt utover det vi hittil har sett.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:heading -->\n<h2 class=\"wp-block-heading\"><strong>Konklusjon:<\/strong><\/h2>\n<!-- \/wp:heading -->\n\n<!-- wp:paragraph -->\n<p>Til tross for at byggevarehandelen og leverand\u00f8rene har implementert elektronisk handel (EDI) i over 25 \u00e5r, viser statistikken at det fortsatt er betydelige utfordringer med utbredelse og kvalitet. Kun en liten andel av fakturaene har tilh\u00f8rende bestillinger, og bruken av EDI varierer betydelig mellom kjedene og butikkene. Dette indikerer at rutiner ikke blir fulgt konsekvent, og at det er behov for forbedringer i standardisering og automatisering.<\/p>\n<!-- \/wp:paragraph -->\n\n<!-- wp:paragraph -->\n<p>For \u00e5 oppn\u00e5 en mer effektiv digital samhandling i byggen\u00e6ringen, er det n\u00f8dvendig med en helhetlig tiln\u00e6rming som inkluderer standardisering av EDI-transaksjoner, automatisering av spesialtilfeller, og forbedring av grunndata.
